Export Local Mail to a PST File

  • In Outlook click File > Options > Advanced > Export
  • Click Export to a file, and then click Next
  • Click Outlook Data File (.pst), and then click Next.
  • Select the account — a top level folder — that you want to export. This enables exporting all mail, calendar, contacts, tasks, and notes if available for that account.
  • Make sure that the Include sub folders check box is selected.
  • Click Next.
  • Click Browseto select where you want to save the Outlook Data File (.pst) and to enter a file name.
  • Click OK to continue.

Connect Office 365 Account to Outlook

  •  In Outlook click File > and under Account Information, click Add Account.
  • In the Add New Account dialog box, select Email Account, and then type your name and the email address and password given to you for your Office 365 account.
  • Click Next. Outlook connects to Exchange Server for Office 365 and automatically confirms your account information and configures Outlook.
  • Click Next. Outlook connects to Exchange Server for Office 365 and automatically confirms your account information and configures Outlook.

Import Mail From PST File into Office 365 Account

Once you have connected your Office 365 account you can then import  a PST file into your Office 365 Account.

  • Click File> Open > Import
  • In the Import and Export Wizard, click Import from another program or file, and the click Next.
  • Click Outlook Data File (.pst), and then click Next.Click Browse, and then choose the file to import.

NOTE    Under Options, click Do not import duplicates unless you want the imported information to replace or duplicate items already in Outlook.

 Replace duplicates with items imported    Existing data will be overwritten with the information in the file being imported.

Allow duplicates to be created    Existing data will not be overwritten, and duplicates will be added to the current Outlook folder.

Do not import duplicate items    Existing data will be kept, and the duplicate information in the file will not be copied to the current Outlook folder.

  • Click Next.
  • If a password was assigned to the Outlook Data File (.pst), you are prompted to enter the password, and then click OK.
  • Set the options for importing items. The default settings usually don’t need to be changed.
  • The top folder — usually Personal FoldersOutlook Data File, or your email address — is selected automatically.
  • Include sub folders is selected by default. All folders under the folder selected will be imported.
  • The default selection of Import items into the same folder in matches the folders from the imported file to the folders in Outlook. If a folder doesn’t exist in Outlook, it will be created.
  • Click Finish.
